Who is responsible

What we collect and why

When you contact us through the form on this site, by email or by phone, we receive the details you give us: your name, your email address, your phone number if you give one, the language and plan you are interested in, and your message. We use them to reply to you and to arrange a first session. The legal basis is your consent and, once you ask to start sessions, steps taken at your request before an agreement (GDPR Article 6(1)(a) and (b)).

If you become a client, we also keep the practical details of your sessions: contact details, bookings, notes about your learning, your flashcards and invoicing information. We use them to guide you and to run the business. The legal basis is the agreement we have with you. Accounting records are kept for seven years, as Swedish accounting law requires (GDPR Article 6(1)(b) and (c)).

Cookies and tracking

This website sets no cookies for tracking or advertising, has no analytics, and loads no fonts or videos from other companies. Pages are served from our own web server. We count how often the address printed on our flyers is opened, as a number per day, without storing anything about the visitor. The map on the About page is only loaded from Google if you choose to click it; until then no connection to Google is made. Administrators who log in to edit the site receive the cookies WordPress needs to keep them logged in.

Who handles the data

Our website is hosted by Bluehost on servers in Frankfurt, Germany. Our email is provided by Hostinger. Our bookkeeping is done with the accounting software and accountant we use for the company. They process data on our behalf. If you take part in the follow-up between sessions, we send review messages through WhatsApp and keep your flashcards in Quizlet, an online flashcard service; both handle data under their own terms. We do not sell personal data and we do not use it for advertising. Reviews and business details on Google are managed by Google under its own privacy policy.

How long we keep it

We keep enquiries only as long as we need them to answer you. If no sessions follow, we delete them within 12 months. Messages sent through the form are also saved in the administration area of this website, and the same rule applies to them. Client records are kept while you are a client and for up to 12 months after your last session. Invoicing records are kept for seven years.

Your rights

You have the right to:

• ask for a copy of the personal data we hold about you,
• have incorrect data corrected,
• have your data deleted,
• limit or object to how we use your data,
• receive your data in a portable format, and
• withdraw your consent at any time.

Write to info@kom-pass.se and we will reply. If you are not satisfied with how we handle your data, you can complain to the Swedish Authority for Privacy Protection, IMY (imy.se).

Changes

We may update this policy. The date at the top shows when it last changed.
